Position Summary:
This role is responsible for all aspects of Job Set-up, including: organization and processing of all documentation to ensure timely and accurate job set-up. This position works in direct support with our field operations and is critical to their success in meeting scheduled timelines, correct job scope of work, accurate billings and responding to customer work requests.
Essential Functions:
Job Setup & Monitoring
Ø Manage the collection, input and maintenance of new residential and commercial jobs, and phase of work requests
Ø Ensure the accuracy of job data including contract pricing and plan measurements
Ø Work closely with Estimators, Central Scheduling, Field Supervisors and Operations Management to deliver a perfect job to our customers
Job Coordination
Ø Responsible for arranging locates, prior to job starts, so that site safety requirements are met
Ø Managing permits and city inspections with Field Supervisors
Ø Updating excavation schedules and coordinating job releases to the Field
Ø Liaise & coordinate with Central Scheduling for job delivery
Office Administration
Ø Present oneself in a professional manner, maintaining courteous and respectful communication with both external and internal customers
Ø Required to answer phones, coordination and distribution of mail, courier and faxes
Ø Responsible for office supplies and equipment maintenance
Ø Ensure the roles best practices and procedures are documented, current and available for cross training
Ø Provide assistance & support to management, office & field personnel
Ø Support safety policy administration
Ø Coordinate office social events, meeting planning and promotional gatherings
Professional Qualifications and Requirements:
Ø High School Diploma required
Ø Enrollment in a post secondary program that complements work in the construction industry (Estimating, CET etc)
Ø Minimum 2 years experience in the residential construction industry with some administrative experience
Ø Blueprint reading would be an asset
Ø Must be reliable and detailed oriented
Ø Ability to communicate effectively with all levels of staff
Ø High level of energy with a desire to get things done
Ø Must be able to set priorities and manage several tasks concurrently
Ø Excellent oral, written and interpersonal communication skills
Ø Works well in an environment with firm deadlines and results orientated
Ø Experience with Timberline Office or similar accounting software an asset
Ø Working knowledge of Microsoft Office (Word and Excel required)
